Heroez Taekwondo Championship Terms and Conditions
Welcome to the official Heroez Taekwondo Championships. These Terms and Conditions govern the registration, participation, and conduct of all athletes, coaches, officials, and affiliated personnel in our events. Participation signifies full understanding and acceptance of these provisions, which are established in line with World Taekwondo Competition Rules, the Kenya Sports Act No. 25 of 2013, and Heroez Taekwondo’s organizational policies.
1. General Statement of Purpose
The Heroez Taekwondo Championships aim to promote technical excellence, discipline, fair play, and personal development in Taekwondo. We are committed to fostering an environment that upholds international standards while nurturing talent across all ages and levels.
2. Eligibility and Registration Requirements
To participate, the following eligibility criteria and registration processes must be adhered to:
2.1 Coaches
• Must hold a valid Kukkiwon Dan Certificate (or Kukkiwon Dan ID Card).
• Must represent a recognized and actively operating Taekwondo dojang in Kenya or internationally.
• Responsible for registering athletes in Championships accurately using official legal names, date of birth, current weight in kilograms, current height in centimeters, current Geup/Poom/Dan, element (Kyeorugi/Poomsae/ Kyeokpa) to be competed in, and truthful information provided during account creation.
• Coaches must maintain an active Heroez Taekwondo portal account and submit all documentation through the designated registration system.
2.2 Competitors
• Only individuals officially registered by accredited coaches will be eligible to participate.
• Required documents include:
Valid national identification: Kenyan National ID, Passport, Military ID, Alien ID, Valid Poom/Dan Certificate/ID or Birth Certificate for minors.
A recent passport-style photo in full Taekwondo uniform (dobok).
For Black Belt Championships: Submission of a Kukkiwon Dan Certificate or ID Card is mandatory.
• Any individual added into the competition without a complete and verified registration will be immediately disqualified. In such instances:
The coach in charge will be liable to a misconduct penalty equivalent to the full participation fee.
The athlete will be excluded from medal contention and denied issuance of any certificates.
2.3 Supporting Staff and Officials
• Individuals serving as seconders, medical personnel, first aiders, or referees must register in the dedicated accreditation section of the portal.
• All accredited personnel will receive a digital or physical ID card showing their photo, full name, and role. Only accredited individuals may access contestant or ring-side areas or raise official inquiries.
3. Competition Structure and Protocols
All competitions are conducted strictly under World Taekwondo Rules and Heroez Taekwondo supplemental regulations. This ensures fairness, transparency, and consistency.
3.1 Referees
• Must be World Taekwondo-licensed or have attended recognized referee training seminars within Kenya.
3.2 Match Conduct
• Competitors who fail to appear after three (3) official calls will forfeit the match. The present athlete will be declared the winner, and no rematch will be scheduled.
3.3 Event Format Enhancements
• To support Kukki Taekwondo’s global growth and promote excellence:
Heroez Taekwondo reserves the right to implement standardized Kukkiwon Poomsae divisions within Poomsae competitions to ensure uniform performance and judging criteria.
4. Black Belt Championship Special Requirement
Participants in Black Belt-exclusive championships are required to upload or present a valid Black Belt Holder’s ID, specifically:
• A certified Kukkiwon Dan Certificate or Kukkiwon Dan ID Card, a hard or soft copy.
This verification ensures authenticity and honors the values of advanced-level Taekwondo representation.
5. Safety, Security, and Order
Heroez Taekwondo prioritizes participant safety and event order. Where necessary, we may engage:
• National security officers or law enforcement personnel to support law and order enforcement, crowd control, and emergency response.
• Participants and attendees are required to cooperate fully with all Heroez staff and security teams.
6. Medical Consent and Emergency Care
By registering, all participants and guardians (for minors) consent to:
• Emergency first aid treatment during the event.
• Notification and referral to professional medical facilities in case of serious injury.
It is the responsibility of coaches or guardians to disclose any pre-existing medical conditions before the event.
7. Media Coverage and Image Use Consent
Heroez Taekwondo events are often photographed and filmed for promotional, training, and historical purposes. By registering:
• You grant permission for Heroez Taekwondo to capture, use, and distribute images and footage of you or your child across digital platforms, including websites, social media, and marketing materials.
• All media usage will be handled professionally and respectfully.
8. Privacy and Data Protection
In compliance with the Kenya Data Protection Act (2019), Heroez Taekwondo commits to:
• Collecting personal information strictly for purposes related to championship management, accreditation, and reporting.
• Ensuring all data is securely stored and not distributed to third parties without consent, unless required by law.
9. Awards and Recognition
9.1 Unique Awarding Structure
Heroez Taekwondo has enhanced its award system to recognize both individual gender categories and overall excellence:
• Kyeorugi Trophies:
Girls: 1st, 2nd, 3rd
Boys: 1st, 2nd, 3rd
• Poomsae/Kyeokpa Trophies:
Girls: 1st, 2nd, 3rd
Boys: 1st, 2nd, 3rd
• Overall Champion Trophies:
Top 3 in Kyeorugi
Top 3 in Poomsae/Kyeokpa
This system ensures equal recognition for both girls/female and boys/male and encourages participation by fostering a sense of appreciation, especially among younger athletes.
9.2 Certificates
• Medalists shall receive a Certificate of Merit.
• All other participants shall be awarded a Certificate of Participation, acknowledging their commitment and involvement.
10. Refund and Withdrawal Policy
• Participation fees are non-refundable, except in cases where the event is canceled by Heroez Taekwondo.
• Withdrawals made at least 14 days before the event start date may be considered for partial refunds, subject to administrative review.
• Late withdrawals, substitutions, or document errors may result in forfeiture of fees.
11. Indemnity and Liability Waiver
By registering, all participants agree to indemnify and hold harmless:
• Heroez Taekwondo, its staff, affiliates, sponsors, volunteers, and partners from any and all claims, damages, or liability except in cases of proven negligence.
Participants are expected to maintain decorum and abide by all tournament rules. Misconduct, dishonesty, or deliberate rule violations may lead to disqualification and permanent blacklisting from future events.
12. Agreement and Acceptance
By proceeding with registration and checking “I Agree” on our platform, you acknowledge that you:
• Have read and understood these Terms and Conditions in full.
• Agree to all policies related to registration, media, medical care, data handling, and code of conduct.
• Accept that failure to comply may result in disqualification or other penalties as deemed appropriate by Heroez Taekwondo officials.
13. Applicability to Heroez Taekwondo Members
All terms and conditions outlined in this document apply equally to all Heroez Taekwondo members participating in any capacity—whether as athletes, coaches, referees, supporting staff, or volunteers. By being a member of Heroez Taekwondo, individuals affirm their understanding and commitment to uphold these principles at all events, including internal and external championships, seminars, or promotional activities.
